Configure your conference options

There may be times when you may want to edit your audio settings, such as turning entry and exit tones on or off, receiving attendance reports, or playing music until you enter the conference. You can update your audio settings at any time. If you attempt to update your settings while hosting a conference, your new settings will not take effect until you start your next conference.

To update your audio settings:

  1. On the Home tab in Outlook, click GlobalMeet Tools > Settings to open the task pane.
  2. In the task pane, click Meeting Settings.
  3. Click the Audio Settings tab and select the audio conference to update.
  4. Change the desired conference options:
    • Notify everyone when someone enters or leaves the conference. Select Silent Entry/Exit to avoid interruptions, Play Tone to play an audio alert, or Announce Name to have the conference play a roll call when you join.
    • Play music to prevent guests from talking to one another until you join the meeting.

      Note: This option may be locked and uneditable if Enhanced Authentication is turned on for your account.

    • Track additional information about conference guests by asking them to provide a PIN number when joining. This information is included in the conference reports available online and sent by email. The PIN is informational only. The conference ensures each guest enters a PIN but does not validate the PIN. When using this option, you should tell your guests prior to the conference what to expect. For example, you might want guests to enter their employee numbers or the last 4 digits of their phone numbers.
    • Require additional validation when connecting to audio. You must enter your Client ID after entering the host passcode. The conference plays music until you join.
    • Send a conference summary to your email after every meeting.

      Note: This option may be locked and uneditable if Enhanced Authentication is turned on for your account.

    • Ask guests to provide their names when they enter the conference and the conference records their names. If Announce Name is enabled for your entry/exit settings, all recorded names play when you join the meeting or if you play the roll call later.

    • Set the conference to automatically end the conference when you leave.
    • Set the conference to automatically end the conference if you do not join within 7 minutes of the start time.
  5. Click Save Changes to update your audio conference settings.
