Features and how they are billed

There is a large range of features that can be added to your Operator Assisted event. To see the actual rates for these features, refer to your client agreement or contract and any amendments and price change notifications for up-to-date pricing. If contracted prices are not listed, default rates apply. For more information on customizing your event, contact your sales representative.

The following table describes all available features and how they are billed.

Feature Description Billing
Call-In Audio Replay Make your conference recording available so that participants who were not able to join the live event can dial in and listen to the recording later. You can also collect information about participants who dialed in to the replay system and receive it as a report. Learn more »

Add-on. Charges include: setup fee, fee for the number of days the replay is available, fee for the number of dial-in numbers (toll-free and toll).

Call-In Audio Replay: Utilization Report Receive anonymous summary of all the participants who called in for the audio replay. This report lists the number dialed from, dial-in time, and disconnect time for all participants who dial in to the audio replay. Learn more » Add-on. Call-In Audio Replay: Web Registration Capture up to 3 pieces of generic or custom participant information as participants dial in for the replay and receive it as a report. Learn more »

Add-on. You must purchase a recording, participant list, and call-in audio replay to add web registration.

Charges include: setup fee, fee for the number of days the replay is available, fee for the number of dial-in numbers (toll-free and toll).

Call-In Audio Replay: Web Registration Report Receive a summary of all the information captured from participants who called in for the audio replay. You may select up to 3 pieces of generic or custom participant information to include in your report. This report lists the number dialed from, dial-in time, and disconnect time for all participants who dial in to the audio replay. Learn more » Add-on. CD Recording

Record your conference and receive a CD of your recording by mail. Learn more »

Add-on. Charges include: CD recording, CD duplication (per copy),  CD splitting (events longer than 75 minutes), shipping fee.

Additional fees for: rush delivery (ground, priority next day, priority next day A.M.), standard editing, fine editing.

Click to Join Allow participants to click a link, enter their information, and have the system dial out to them and place them in the conference. Learn more »

Additional fees for: the number of pieces of information to be collected (in addition to name).

Closing Script Provide a custom closing script to customize what the operator will say before ending the conference. Learn more » Add-on. A quote is provided based on the script.
Communications Line Add an additional, dedicated voice line between the operator and conference speakers to coordinate the conference behind the scenes. Learn more » Add-on. Charges include: fee per communications line.
Conference Controls The Conference Controls allows speakers to see in real time who has joined the conference, manage question and answer queues, view polling results, and communicate behind the scenes with the operator and other speakers. Learn more » Add-on. Charges include: fee for Conference Controls.
Conference Language Select the language you would like the Operator to use for the conference. Available languages include: English, Mandarin Chinese, Canadian French, French, German, Italian, Japanese, Korean, Portuguese (Brazilian), and Spanish. Learn more » Included. No additional charge.
Custom Hold Music or Message

Provide a recording of custom hold music or a branded message to be played to participants as they wait on hold for the conference to begin. Learn more »

Add-on. A quote is provided based on the the hold music or message.
Custom Scripts Provide custom scripts for operators answering the lines to use when prompting participants for their information. Add-on. A quote is provided based on the script.
Editing Services Have your conference recording edited for recording files, CDs, or call-in audio replays. Standard editing includes cutting out or splicing together specific sections of a recording. Fine editing involves removing all audio stumbles and mistakes so that the content is polished. Learn more »

Add-on. You must purchase a recording to purchase editing services. You are charged for the level of editing you request: standard editing, fine editing.

Greeted Entry For conferences up to 1,000 participants. Have an operator greet participants, screens them and collect their information, and direct them to your conference. Learn more » Billed per minute.
Live Support Contact an operator during your conference by pressing *0. Learn more » Included. No additional charge.
Live Translation Have an interpreter translate communication between the operator and moderators, speakers, and participants. Live translation is available in 40 languages including French, German, Spanish, and others. Additional conference and/or communication lines are required for each language. Learn more » Add-on. Billed per 15 minutes per interpreter.
Opening Script Provide a custom closing script to customize what the operator will say when opening the conference. Learn more » Add-on. Requires a quote based on the script provided.
Participant Dial-out Provide a list of participants the operator will dial out to and connect to the conference. Learn more » Add-on. Charges include: per-minute charges for each participant, fee for each voicemail left (domestic and international).
Participant Limit Limit the conference to a specific number of participants. Learn more » Included. No additional charge.
Participant List Report Collect up to six pieces of generic or custom participant information from your participants and receive a summary of all the information captured from participants. Learn more »

Participant PIN Capture For Passcode Entry conferences. Only allow participants who enter any PIN to join the conference. Learn more » Add-on. Quote provided.
Participant PIN Validate

For Passcode Entry conferences. Only allow participants who enter a valid PIN to join the conference. Post conference reports include a list of PIN numbers tied to each participant. Learn more »

Add-on. Quote provided.
Passcode Entry For conferences up to 15,000 participants. Have an automated system greet participants and prompt them to enter a passcode using their phone keypad to join the conference. The automated system can also collect participant information. Learn more » Billed per minute.
Polling Create a poll with questions that you provide during the pre-conference. The operator can provide a summary of the results at the end of the conference. You can receive a separate poll results report after the conference for an additional fee. Learn more »

Poll Results Summary Report The poll results summary report contains the total number of votes for each polling answer to each question. This report is anonymous and does not show which answers each individual participant selects. Learn more »

Charges include: fee per report.

Poll Results Detailed Report The poll results detail report is merged with the participant list report. It includes the answers each individual participant selected for each polling question. Participant vote selections are not anonymous. Learn more »

Post-Conference Consultation Allow moderators and speakers to review the conference with the operator, receive poll or voting results, and perform any additional follow-up coordination between speakers and the operator. Learn more » 15 minutes included. Additional time billed in 15-minute increments.
Pre-Conference The conference is open to speakers a minimum of 15 minutes before the start time. The operator joins the pre-conference to assist with preparations. If you need more than the included 15 minutes, you can reserve additional time prior to the conference start. Learn more »

Pre-Event Consultation Meet with an operator prior to the conference to discuss setup, logistics, or conference best practices, a pre-event consultation is available. Learn more » Charges include: consultation fee.
Pre-Recorded Conference Pre-record the conference prior to the date of the live conference for a more polished event. The recorded conference is played into the live conference during the scheduled conference time. The speakers join the conference live to answer questions after the recording is played. Learn more »

Additional fees for: rush fee (24-48 hours, less than 24 hours), change/reschedule fee, cancellation fee.

Question and Answer Have the operator moderate a question and answer session where participants can ask the speakers questions. Learn more » Included. No additional charge.
Recorded Name On Entry For Passcode Entry conferences. Have an automated system record the participant information required to create the participant lists. The participant information is then transcribed and included in the participant list report. Learn more »

Recording File Record your conference and receive your recording as a downloadable audio file. Available file formats are WAV, MP3, and High Quality MP3.  Learn more »

RSVP/Web Registration For Greeted Entry and Passcode Entry conferences. Gather participant information in advance and identify the participants for post conference reporting. Learn more »

Additional fees for: custom information collection and post-conference report.

Reservations

Schedule your event online or by speaking to a Reservations Specialist. You must schedule your conference at least 24 hours in advance or pay an additional fee. Additional charges apply for rescheduling, cancellations, conferences cancelled without notification, overbooking participant lines, and going over time on the conference. Learn more »

Charges include: scheduling fee.

Additional fees for: late notice scheduling (base fee if scheduled within 24 hours, increase if within 30 minutes before start time), rescheduling (base fee with increase if less than 24 hours notice), cancellations, no show without canceling, overbooking participant lines, time overage.

Test Call Schedule a test run before the live conference. Test calls can include up to 3 lines, a 15-minute pre-conference, 30-minute call length, a Communications line, and Conference Controls. Learn more » Add-on. Charges include: flat fee for the call.
Transcription Have your conference transcribed in your original conference language and receive a copy of your transcription. Learn more »

Add-on. You must purchase a recording to receive this report.

Charges include: billed in 15-minute increments, plus cost of recording.

Additional fees for: rush delivery (48 hours, 24 hours, 6 hours, 3 hours), transcriptions in other languages. 

Translated Transcription

Transcriptions can be translated to different languages. Translation requires that you also purchase transcription and a recording file. Available in 40 languages including French, German, Spanish, and others. Learn more »

Add-on. You must purchase a recording and a transcription to receive this report.

Charges include: recording fee, transcription fee, per-word translated from English transcript. 

Additional fees for: rush delivery (48 hours, 24 hours, 6 hours, 3 hours). 

Verification Participant List For greeted entry conferences. Limit the conference and allow only participants on a list to join. Participants are verified by operators when they dial in to the conference. The exclusive participant list can include up to 500 names. Learn more » Add-on. Charges include: verification charge.
Web Conferencing Product Use Include a web product component for sharing slides, screens, or videos with participants. For assistance with your web product integration, you must also purchase Web Event Production.   Learn more »

Included when using your company’s service.

Additional fees for: recording file fee, fee for a communications line if using a third-party recording service, per minute fees if using Slide Assist.

Web Event Production Management For web events.The Event Production Team is available to assist when you are using a web conference, webinar, or webcast with your conference. In addition to Slide Assist, the Event Production Team supports GlobalMeet Webcast, Adobe Connect, and Cisco WebEx. Learn more »
