Outlook Add-In quick ref

For account holders only.

The GlobalMeet add-in for Outlook is available for Outlook for Windows, Outlook for Mac, and the Outlook on the web. For supported versions of Outlook, see System Requirements.

Get the GlobalMeet add-in

The GlobalMeet add-in for Outlook offers a fast way to schedule a meeting, send invitations, and track responses in your Outlook calendar. 

Install the add-in

This is a custom add-in that you enable from the add-ins menu in Outlook. 

Note: If you manage another person's Outlook Calendar, are not permitted to install custom add-ins, or if your mailbox is hosted on Exchange Server 2010 or earlier, use the GlobalMeet for Outlook COM add-in (download here). Available for Microsoft Outlook for Windows 2013 and 2016.

To install the add-in:

  1. First, copy the add-in URL to the clipboard.

  2. In your version of Outlook, access the add-ins feature:
    • Windows and Mac - On the Home ribbon, click Get Add-ins.

    • Outlook on the web - While reading a message, click (...More actions and then scroll down and click Get Add-ins. Or create a new event in your calendar, and at the top (...More actions and then click Get Add-ins.

    • If you don't see the Get Add-ins option, click the following URL to open the Manage add-ins page.

  3. Access the Add from URL option. It looks slightly different, depending on your version of Outlook.
    • Windows, Mac, and Outlook on the web - on the add-ins window, click My add-ins, and then click + Add a custom add-in and select Add from URL.

  4. Paste the URL you copied, click OK, and then click Install.

  5. GlobalMeet is included under Custom add-ins. Close the add-ins window.

Sign in to your account

Tip: In Outlook on the web, the GlobalMeet add-in options are hidden under the (...) More actions button. Customize Outlook to show the GlobalMeet button  in messages and in new events in the Calendar view. Learn more »

  • Windows and Mac - the add-in buttons are included at the right side of the Home ribbon. Click GlobalMeet Tools and then select Accounts to sign in to your account.

  • Outlook on the web - Create a new event in your calendar, and at the top click (...More actions. Select GlobalMeet > GlobalMeet Tools > Accounts to sign in.

  • Classic Outlook on the web - At the top of a message or calendar event, click the  button, select GlobalMeet Tools, and then select Accounts to sign in.

Display the reading pane in Outlook

The GlobalMeet Outlook add-in requires you to enable the reading pane in Outlook.

  • Windows and Mac - On the View tab (Windows) or Organize tab (Mac), click Reading Pane. Select whether to show the reading pane on the right or at the bottom. Do not choose Off.

  • Outlook on the web -  In the top menu, click Settings, and then scroll down to Reading Pane. Under Reading pane, select whether to show the reading pane on the right or at the bottom. Do not choose Hide reading pane. Click OK to save your selection.

Schedule a meeting on your calendar

Scheduling a meeting in Outlook saves it to your calendar, where you can track attendee responses and update the meeting date and time, if needed. 

To schedule a meeting in your Outlook calendar:

  1. In Outlook, create a new appointment or meeting, and then click Schedule Meeting on the right side of the Appointment or Meeting tab.

    In Outlook on the web, create a new Calendar event, click the GlobalMeet OWA Icon button, and then click Schedule Meeting.

    Your default GlobalMeet meeting information is added to the invitation.

  2. Set the date and time for the meeting, enter the meeting subject, and add people to invite.

    Tip: Use the Scheduling Assistant to check your guests' calendars when you pick a date and time for the meeting.

  3. If needed, in the Edit Invite task pane, select a different web room or audio account to use, select numbers to include in the invitation, and the invitation language.
  4. Click Send to add the meeting to your Outlook calendar and send the invitations to your guests.

When it's time to meet, start your meeting with the desktop app, mobile app, web browser, or the GlobalMeet add-in for Outlook.

Send a meeting invite now

Sometimes you need to gather people into your meeting room quickly, without waiting for responses. You can send an invitation from an email message. This kind of invitation is not saved in your Outlook calendar.

To send a quick meeting invitation:

  1. Create or reply to an email message.
  2. In Outlook, click Urgent Meeting on the right side of the Message tab. In Outlook on the web, click the GlobalMeet OWA Icon button, and then select Urgent Meeting.

    Your default GlobalMeet meeting information is added to the invitation. You cannot set a date or time for this meeting invitation, but you can edit your meeting details in the Edit Invite task pane.

  3. Add the guests to invite and click Send.
  4. Start your meeting with the desktop app, mobile app, web browser, or GlobalMeet for Outlook add-in.

Start your meeting

To start your meeting:

  1. On the Home tab in Outlook, click Start My Meeting to open the task pane. In Outlook on the web, click global-meet15x15.png and then Start My Meeting.
  2. Choose to start a web meeting or an audio-only meeting, and then click Start

    Your room (web) or the Phone Controls (audio only) opens and you are automatically signed in as the host.

The next step is to choose how you want to talk in the meeting by connecting your audio.
